Software decisions improve when the criteria are explicit. The following framework is designed to be reusable, whether you are choosing for yourself or for a larger team.
Define non-negotiables
List required outcomes, users, permissions, data locations, integrations, and budget before opening comparison tabs. Keep preferences separate from requirements.
Use the same scenario
Give every candidate the same representative task and sample data. Consistency makes friction, output quality, and missing capabilities easier to see.
Include adoption and exit
Assess onboarding, accessibility, administration, export formats, cancellation, and data portability. A tool must be usable today and leaveable tomorrow.
Document uncertainty
Mark every item as verified, observed, vendor-claimed, or unknown. Unknowns become questions for a trial—not assumptions in a buying decision.
A simple decision record
Before committing, record the problem, candidates, evidence, tradeoffs, chosen option, owner, review date, and conditions that would trigger a reassessment.
